How we handle your data.

Coach Circle is operated by Coach Circle Inc. (“Coach Circle”, “we”, “us”, or “our”) under the laws of the Republic of the Philippines. We act as both a Personal Information Controller and a Personal Information Processor under the DPA for data we collect through coachcircle.ph and our subscription product. Our founder is Lish Aquino.

By creating a Coach Circle account or otherwise using the service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the service.

We collect only what we need to run the platform and honor our obligations to you, the coaches you watch, and our payment partners.

• Account information — your name, email address, password (hashed using industry-standard algorithms; never stored in plaintext), and role (student, coach, or administrator).
• Subscription & payment data — handled by Xendit on our behalf. We store the transaction reference, plan purchased, status, and amount. We do not receive or store full card numbers, GCash credentials, bank account numbers, or any equivalent payment instrument detail.
• Watch progress — for each lesson you start, we store your last playback position and a completion timestamp so you can resume where you left off and so coaches can be compensated based on aggregated watch time.
• Feedback & reports — anything you submit via the in-product course feedback form or content reporting form, plus the email address tied to your account at the time of submission.
• Browser metadata & log data — IP address, user agent, device type, and approximate session timestamps captured by our hosting layer for operations, abuse prevention, and basic analytics.
• Communications — when you email Coach Circle support, we retain the message for as long as the matter remains open and for a reasonable follow-up period afterward.

Coach Circle uses a small number of cookies and equivalent browser-storage mechanisms. We do not run third-party advertising cookies and we do not sell your data to ad networks.

• Strictly necessary — session and authentication cookies set by Supabase Auth. Without these you cannot stay signed in.
• Functional — small cookies that remember preferences such as your last-viewed coach or whether you dismissed an in-product banner.
• Operational analytics — aggregate first-party metrics (pageviews, course-completion counts) collected via our hosting platform. These are not used to track you across other sites.

You can instruct your browser to refuse all cookies or to alert you when a cookie is being sent. If you refuse the strictly necessary cookies above, parts of the service (including sign-in) will not function.

• To create and maintain your account.
• To enforce subscription access — the system needs to confirm that your subscription is active before it unlocks a lesson.
• To remember your watch position and surface accurate progress across sessions and devices.
• To distribute revenue to coaches under our published share model — a 70/30 subscription pool split for Featured coaches (the all-access subscription pool is shared by watch-time across Featured coaches only) and a 90/10 split for Standard coaches on direct à la carte course sales. Your watch time on Featured courses is anonymized into pool calculations used to compute per-coach payouts.
• To respond to feedback or content reports you submit.
• To send transactional email (account confirmations, receipts, renewal reminders) and — only if you opt in — marketing communications about new coaches and platform updates.
• Aggregate analytics on platform usage so we can prioritize roadmap work.

We do not sell your data. We do not run third-party behavioral advertising. We share narrowly-scoped data with the following processors and partners, each bound by a written agreement or a published privacy commitment to protect your information:

• Xendit — payment processing (subscription checkout and à la carte course purchases). Subject to Xendit’s privacy policy.
• Supabase — database and authentication hosting. Operates as our processor under our direction.
• Bunny.net — video delivery. Receives playback requests but no account-level personal information.
• Brevo — transactional and (where you have opted in) marketing email delivery.
• Vercel — application hosting. Receives request-level log data only.

We may also disclose information when required by Philippine law, by court order or lawful subpoena, or when we believe in good faith that disclosure is necessary to protect the rights, property, or safety of users, coaches, or the platform.

We keep your account and watch-progress data for as long as your account remains active. If you close your account, we retain transaction and tax records for the period required by Philippine tax law (currently ten years for invoices and official receipts) and remove personal identifiers from analytics records within 90 days of closure. Hashed passwords are deleted within seven days of account closure.

We protect your information using commercially reasonable technical and organizational measures, including encryption in transit (TLS), encryption at rest for the database, password hashing using modern algorithms, row-level security policies on all personal data tables, and access controls limiting administrator access to staff who need it for support or operations.

No method of transmission over the internet or method of electronic storage is perfectly secure. While we work to apply industry-standard safeguards, we cannot guarantee absolute security and you use the service at your own risk.

Coach Circle is intended for users aged 18 and older. We do not knowingly collect personal information from anyone under 18 without verifiable consent from a parent or legal guardian. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at privacy@coachcircle.ph and we will take steps to remove that information from our records.

Transactional emails (account confirmations, receipts, renewal and access notices) are part of the service and cannot be opted out of while your account is active. Marketing emails (new coach announcements, product updates, special offers) are opt-in at signup; you can withdraw consent at any time using the unsubscribe link in any marketing message or by emailing privacy@coachcircle.ph.

Coach Circle may link to coaches’ own websites, payment partners, or external resources referenced by course content. We do not control those sites and are not responsible for their privacy practices. We encourage you to review the privacy policy of any third-party site you visit from a Coach Circle link.

The National Privacy Commission (“NPC”) grants you the following rights with respect to your personal data:

• The right to be informed.
• The right to access your data.
• The right to object to processing.
• The right to erasure or blocking.
• The right to rectification.
• The right to data portability.
• The right to file a complaint.
• The right to damages where applicable.

To exercise any of these rights, email privacy@coachcircle.ph with your request and the email address tied to your Coach Circle account. We will acknowledge within five business days and respond substantively within 15 business days.

You may also contact the National Privacy Commission directly at privacy.gov.ph.

We will disclose personal information when required to do so by Philippine law, by lawful order of a court of competent jurisdiction, or in response to a duly issued government subpoena. We will notify affected users of any such disclosure unless we are legally prohibited from doing so.

We may update this Privacy Policy from time to time. Material changes will be announced to active subscribers and registered coaches via email at least 14 days before the changes take effect. The latest version is always posted on this page with its effective date. Continued use of Coach Circle after a change takes effect constitutes acceptance of the updated policy.
